Replacemydocuments
We find out

Every document comes from one place

Bank, employer, Belastingdienst, municipality or DUO: every document has its own issuer, its own route and sometimes its own form. We work out that route for you, so you do not have to go from desk to desk.

  • The right organisationEven for a closed account, a bankrupt employer or a school that no longer exists.
  • The right routeDownload online, request by phone or send a written request.
We think along

Can you sort it out yourself for free? Then we will tell you.

Many documents are simply waiting in an online account. Then one clear explanation is enough.

Our help is for the documents you cannot easily get to: old statements, payslips from an employer that no longer exists, a certificate from another municipality or a file that has to be complete before a deadline.

Which document are you missing?

For each type of document you can see who issues it, how you normally request it and what we help with. Is your document not listed? Choose ‘Not sure yet’ in the form.

Bank statements

Including from a closed account

IssuerYour own bank

You can usually download recent statements yourself as a PDF in online banking or the app. Older statements, or those from a closed account, are requested from the bank itself. There may be a charge for this.

What we help with

We find out which route your bank uses, help you draft the request for older or closed accounts and check that the period matches what you have been asked for.

  • Monthly statements as PDF
  • Statements from a closed account
  • Balance or account overview
  • Annual overview from the bank

Payslips and annual statements

Even if the employer no longer exists

IssuerYour (former) employer or payroll administration

Payslips and the annual statement (jaaropgaaf) come from the employer, the payroll office or the employment agency. If the company is bankrupt, the receiver (curator) is the point of contact. An overview of your wage data is also in your UWV insurance record (verzekeringsbericht).

What we help with

We help you draft a clear request to the right department, and list what you can submit instead if the employer does not respond, or responds late.

  • Annual statement (jaaropgaaf)
  • Employer’s statement (werkgeversverklaring)
  • UWV insurance record

Energy and utility bills

Even after switching or moving

IssuerYour energy supplier, water company or provider

Bills and annual statements are usually in the supplier’s customer account or app. If you have switched, your previous supplier has your old bills. If you are asked for proof of address, an extract from the municipality is often the better choice.

What we help with

We find out where your old bills can be found, even after a switch or a move, and check whether a BRP extract better fits what you have been asked for.

Tax documents

Income statement, tax return, assessment

IssuerThe Belastingdienst (Dutch Tax Administration)

You will find an income statement (inkomensverklaring), previous tax returns and assessments in Mijn Belastingdienst, where you log in with DigiD. If logging in does not work, you can also request the income statement by phone from the BelastingTelefoon.

What we help with

We explain exactly which document is meant (an income statement is not the same as an assessment) and guide you step by step. We never need your DigiD details for this.

  • Income statement (IB60)
  • Copy of your income tax return
  • Final assessment
  • Provisional assessment

Municipality and identity

Extracts, certificates, lost ID

IssuerYour municipality (gemeente)

You request an extract from the Personal Records Database (BRP) from your municipality, often online with DigiD. A copy of a birth or marriage certificate comes from the municipality where the certificate was drawn up. Lost your passport, ID card or driving licence? Report it to the municipality and apply for a new document yourself, in person.

What we help with

We find out which municipality you need, which kind of extract is being asked for and what to bring to the appointment. We never apply for an identity document on your behalf.

  • Copy of a birth certificate
  • Copy of a marriage certificate
  • Lost passport, ID card or driving licence

Diplomas and transcripts

Even if the school no longer exists

IssuerDUO or your school

If your diploma is in the diploma register, you can download a certified extract via Mijn DUO. If it is not, your school or programme is the first point of contact.

What we help with

We find out whether your diploma is in the register, who to contact if the school no longer exists and which statement you can get instead.

  • Diploma register extract
  • Copy of a transcript
  • Statement from the school
  • Diplomas from before the register

File check

Rental home or mortgage? Have your file checked first.

Landlords, lenders and employers often work with a fixed list. If one item is missing, your application stalls.

  1. You share the list you receivedFrom the landlord, the bank, the adviser or the employer.
  2. We hold it against your documentsWhat is complete, what is too old and what is missing.
  3. You get what is missing from the sourceWith the right route for each document. You submit the file yourself.

How it works

From ‘I am missing a document’ to the original in your hands

  1. Step 1: You tell us what is missing

Which document, from which period and what you need it for. A few lines in the form is enough.

  2. Step 2: We work out the route

Which organisation, which department, online or in writing, and whether there are costs. You hear this before anything happens.

  3. Step 3: You apply, we guide you

You log in or sign yourself. We make sure the request is complete and keep track of when you should hear back.

  4. Step 4: The original comes to you

Straight from the bank, the employer or the government. We only see it if you ask us to check it.

Our promise

What we never do

  • We never forge documents

And we do not alter existing documents. Every document comes from the organisation that issues it.

  • We never ask for your DigiD

Nor for your bank passwords or any other login details. You always log in yourself.

  • We do not apply for ID for you

You apply for a passport, ID card or driving licence in person at the municipality. We help you prepare.

  • We do not promise deadlines

How quickly a document arrives is up to the organisation. We will not name a date we cannot control.

Replacemydocuments is an independent service. We are not a government body and are not affiliated with any bank, employer, the Belastingdienst, UWV, DUO or any municipality.

Questions

What people ask before they start

Do you create a new document for me?

No. Every document comes from the organisation that issues it: your bank, your employer, the Belastingdienst, the municipality or DUO. We help you request it there.

Can’t I just request it myself?

Often you can, and sometimes for free. If so, we will tell you straight away. Our help is meant for when you do not know where to go, when it concerns old or tricky documents, or when a whole file has to be complete.

Do you need my DigiD?

No. Never give your DigiD details to anyone else. Where logging in is required, you do it yourself. If you want someone to arrange something with the government on your behalf, you can use DigiD Machtigen (authorisation).

My old employer no longer exists. What now?

Then we check whether there is a receiver or a successor, and what data UWV and the Belastingdienst hold about you. There is often another official document you can submit.

How long does it take?

That depends on the organisation. A download from an online account is instant; a written request can take weeks. We will not name a timeframe we cannot control.

What does it cost?

You hear up front what our help costs, and only then decide. Fees the organisation itself charges, such as municipal fees (leges), are always paid directly to that organisation.

Request

Ready to get your document back?

Tell us which document you are missing and what you need it for. You will first hear what is possible and what it costs. Only then do you decide.

  • The route to the right organisation
  • Clear costs up front
  • An honest answer if you can do it yourself
